    Mayvin® is currently seeking experienced applicants for an Executive Administrative Support Specialist position for an effort in support of Department of Homeland Security (DHS), U.S. Customs and Border Protection (CBP). This position is located in Washington, D.C. The selected candidate will serve as the primary administrative support for a CBP Headquarters team within the Laboratories and Scientific Services Directorate Interdiction Technology Branch (ITB).


    Applicants must be U.S. citizens to be considered. Candidates must possess or be able to acquire a favorably adjudicated DHS/CBP background investigation (BI) prior to commencing work.


    The candidate will provide administrative support to a workforce including, but not limited to, covering the phones and desk to support the office team and visitors, supporting administrative reporting to external stakeholders, processing invoices, coordinating office calendars, supporting office inventory processes, and acting as the office point of contact for the background investigation process.

    • Answer and direct phone calls
    • Organize and schedule appointments
    • Plan meetings and take detailed minutes
    • Write and distribute email, correspondence memos, letters, faxes and forms
    • Assist in the preparation of regularly scheduled reports
    • Assist office personnel with preparation of security, computer access, and other forms
    • Monitor progress of various administrative staffing actions (new hire actions, staff packages)
    • Develop and maintain a computer based filing system
    • Update and maintain office policies and procedures
    • Order office supplies
    • Maintain contact lists and office rosters
    • Book travel arrangements
    • Submit and reconcile expense reports
    • Provide general support to visitors
    • Act as the point of contact for internal and external clients
    • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
    • Other duties as assigned


    Education and Experience Requirements

    • The candidate must have a High School diploma or GED at a minimum; additional qualification as an Administrative assistant or Secretary will be a plus.



    • The candidate must possess at least 1-3 years of related experience.

    • Excellent oral and written communication skills and ability to work effectively with people at all levels.

    • Ability to communicate complex issues, clearly and effectively, both verbally and in writing to a range of stakeholders.

    • Ability to work both individually and in a team environment.

    • Proficient in the use of commercial software packages such as Microsoft Office (Word, Power Point, Project, Outlook and Excel) and SharePoint.
